Create an account
WhatsApp uses your phone number as identity. Install the app, verify with SMS or call, and set a profile name and photo. WhatsApp Business is a separate app tailored to small businesses with tools like labels, quick replies, and catalogs.
- Install WhatsApp or WhatsApp Business (pick one primary app for the number).
- Verify your number and set a profile.
- Enable backups thoughtfully before you need a phone transfer.
- For businesses, prepare a greeting message and clear customer hours.
Changing numbers later is possible through official in-app flows — document the process before you switch SIMs so chat history migration goes smoothly.
Decide early whether your number is personal, business, or both. Mixing heavy customer support into a personal number creates burnout and privacy issues. WhatsApp Business profiles should state who you are, what you sell, and when you reply.
Privacy basics
- Last seen, profile photo, about, and Status — who can view each
- Read receipts toggle
- Disappearing messages per chat
- Blocked contacts
- Group invite permissions
- Live location controls — stop sharing when finished
Status updates can reveal more than you intend to distant contacts. Prefer “My contacts except…” style limits when available. For Business accounts, separate customer chat hygiene from personal contacts.
Groups are a common source of surprise contact exposure. Adjust who can add you to groups. Leave groups that spam or share unwanted media. For Status, prefer tighter audiences when sharing family content.
Security and two-factor authentication
Enable two-step verification with a PIN and register a recovery email. Understand encrypted backup choices: device-level encryption options differ from cloud backup convenience. Lock the app with device biometrics where available.
- Settings → Account → Two-step verification → enable PIN.
- Add recovery email.
- Review Linked devices and log out unknown WhatsApp Web sessions.
- Be alert for fake verification code requests — never share codes.
Account takeover often starts with social engineering (“send me the code”). Real WhatsApp support does not cold-call you for codes.
Linked devices are powerful and risky. Audit them whenever you use a new computer. Enable two-step verification so a stolen SMS code alone is not enough to move your account.
Encrypted backups add protection if your cloud account is strong. A weak Google or Apple password undermines chat security regardless of WhatsApp’s transport encryption.
Create content
WhatsApp is messaging-first: chats, groups, voice and video calls, Status, Channels, and Business catalogs. “Content strategy” here means clear communication, not viral posts.
- Use broadcast lists only with opt-in contacts
- Keep group descriptions and admin rules explicit
- Status for ephemeral updates to chosen audiences
- Channels for one-to-many updates where offered
- Business catalogs and labels for orderly customer support
Unsolicited bulk messaging violates policies and burns trust. If you market on WhatsApp, get consent, honor opt-outs, and keep records of how people joined your list.
For community groups, pin rules and appoint moderators. For businesses, templates and quick replies keep tone consistent across staff. Avoid forwarding unverified medical or political claims — WhatsApp forwards can spread harmful misinformation quickly.
Voice messages are convenient but hard to search; use text for decisions, addresses, and commitments you may need to find later. Export important threads when contracts require records.
Click-to-chat links on websites should pre-fill a short helpful message so customers know what to expect. Train staff to reply with identity (“This is Alex at River Clinic”) especially when multiple people share a Business inbox.
Broadcast lists require explicit consent and easy opt-out. Treat WhatsApp marketing with at least as much care as email marketing. Jurisdictions vary; when unsure, get legal review for your region.
Media hygiene matters: compress images before sending to large groups, avoid forwarding personal medical documents into group chats, and revoke live location promptly.
For NGOs and community organizers, written group rules reduce conflict. Admins should be reachable and consistent. Power imbalances in admin roles deserve transparency.
Phone migrations fail most often because backups were never verified. Schedule a backup test every few months. Losing years of customer history is an operational incident, not a minor inconvenience.
Delete a post
Chat messages support Delete for me and Delete for everyone within a limited time window. Status items can be deleted from your Status. Group admins may delete some messages depending on settings. Channels have their own remove controls.
“Delete for everyone” is time-limited and not guaranteed if devices are offline. Do not rely on it for true secrecy. Treat sends as potentially permanent.
Archive or hide posts
Archive chats to hide them from the main inbox without deleting history. Chat backup to Google Drive or iCloud is how many people preserve history across phones — learn what your backup encrypts and which Google/Apple account holds it.
Export a chat from the chat menu when you need a portable text/media copy for a specific thread (useful for customer disputes or personal records).
Archived chats reduce inbox stress without destroying history. Combine archive discipline with labels (Business) so urgent customers never disappear into a pile.
Download your data
WhatsApp’s model centers on device backups and chat export rather than a single social “archive zip” like some networks. For Business tooling, export any CRM labels or spreadsheets you keep outside the app before changing phones or deleting the account.
Before phone migrations, confirm backup completion and which cloud account received it. Test restore on the new device promptly while you still have the old phone as fallback.
Deactivate vs delete your account
Settings → Account → Delete my account. This removes your profile and group memberships after confirmation and is different from merely uninstalling. Unlink WhatsApp Web sessions first. Understand backup deletion implications on your cloud account.
- Inform customers if you are a Business account going offline.
- Export important chats.
- Unlink devices.
- Delete the account with number confirmation.
Deleting a Business account can surprise customers mid-conversation. Post an advance notice Status or chat template pointing to a new channel. Remove payment and catalog setups first.
Grow followers ethically
WhatsApp does not center on public followers. Business growth means consented conversations, fast helpful replies, and a clear catalog — not scraping numbers to spam.
- Collect opt-in explicitly
- Reply during published hours
- Use labels/quick replies to stay organized
- Avoid bulk unsolicited messages that risk bans
Growth equals trusted reach: referrals, QR codes on packaging, and website click-to-chat buttons with clear consent language. Purchased contact lists are a fast path to bans and angry recipients.
Catalog photos should match what you actually deliver. Bait-and-switch product images create chargebacks and platform complaints. Keep inventory statuses honest.
When staff leave, rotate Business app access and review linked devices the same day. Shared tablets at a front desk need locked user sessions.
International messaging may involve different spam thresholds and user expectations. If you expand to new countries, localize greeting messages and quiet hours.
Accessibility: avoid conveying critical-only information in tiny screenshots of text. Re-type key instructions so screen readers and search-in-chat can find them.
- Post consistently about topics your audience cares about
- Reply to comments and messages thoughtfully
- Use clear captions and relevant hashtags or keywords (without stuffing)
- Avoid fake engagement services, bots, or purchased followers
- Follow each platform’s community guidelines and advertising rules
Common problems (locked, hacked, recovery)
- Banned for spam — stop violating behavior; appeal only via official FAQ forms.
- Verification loops — wait out SMS cooldowns; confirm SIM access and number format.
- Lost backups — verify Google/iCloud account before switching phones.
- Linked device surprises — remove unknown computers immediately and enable two-step verification.
If banned, gather examples of your opt-in practices before appealing. If verification fails, check carrier SMS blocking, VPN interference, and whether the number is eligible in your country.
